Locking / Unlocking

The reason of Locking / Unlocking is:

1. to lock a course in a specific position. Regenerating the timetable will not move the courses that have
been locked.

There are few ways to do Locking / Unlocking:

1. Locking / Unlocking from the set constraints tree.
2. Locking / Unlocking from the timetable.
3. Locking / Unlocking from the timetable menu.

Locking / Unlocking from the set constraints

Step 1 : Select which folder / course to lock.
Step 2 : Right click on the preferred folder / course.
Step 3 : Select lock / unlock course.
Step 4 : Done.

Select Lock scheduled Courses.

Highlight

The reasons for Highlight function are:
1. to identify / verify the result easily in the timetable.
2. to monitor the location of a preferred course for similar batch of student or repeaters.

There are few ways to Highlight:
1. Highlighting from the set constraints tree.
2. Highlighting from the timetable.

Highlighting from the set constraints tree

Step 1 : Select which folder / course to highlight.
Step 2 :
Right click on the prefer folder / course.
Step 3 : Select Highlight Sections.
Step 4 : Choose prefer color.
Step 5 : Done.

Hide  - output

The reason for Hide output function is :
1. to hide the output from being display when printing.

There are few ways to hide the output:
1. Hiding output from the set constraints tree.
2. Hiding output from the timetable.

Step 2 : Right click on the prefer folder / course
Step 3 : Select hide output

Figure 5.8 below show that the courses have been hidden.

Show - output

The reason for Show output function is:
1. to show the output which has been hided.

There are few ways to show the output:
1. show output from the set constraints tree.
2. show output from the timetable.

Exclude

Two reasons for Exclude slot function are:
1. To not process the excluded slot when generating timetable.
2. User can reserved a slot for future use rather than deleting it.

There are few ways to Exclude the slot:
1. Exclude from the set constraints tree.
2. Exclude from the timetable.
3. Exclude from the timetable menu.

Exclude from the set constraints tree

Step 1 : Select which folder / course to exclude.
Step 2 :
Right click on the preferred folder / course.
Step 3 : Select Exclude Section.
Step 4 :
Done.

Include

The reason for Include slot is:
1. to process the excluded course when generating timetable.

There are few ways to include the slot:
1. include slot from the set constraints tree.
2. include slot from the timetable.
3. include slot from the timetable menu.

Step 1 : Select which folder / course to include.
Step 2 : Right click on the preferred folder / course.
Step 3 : Select Include Section.
Step 4 : Done.

Free lecturer

The reason for Free Lecturer function is:

1. To check the availability of selected lecturer on selected timeslot.

Tips: You are advice to use this function when you have to slot in the course manually or, when we have to replace the current lecturer with the new lecturer because of certain reasons.

To see the Free Lecturer list:

Step 1: Right-click on any one of the timeslot.

Step 2: Select Free Lecturer.

In the list, we can see the lecturer name, subject taught, section, time, venue and workload. Only lecturers that are available on that time will be shown in the list.

Lecturer Preferences

The lecturer preferences box is for you to set relevant constraint on lecturer time and room preferences.

Tips: To set a lecturer's constraint, you must make sure that the constraint you are about to set, does not have any conflict with the constraints in respective Group folders (chapter 4 ).

Step 1: Go to Data tab and click on Lecturers tab.

Step 2: Double click on a lecturer where you want to set the constraint.

Step 3: A box named Lecturer Preferences will appear as below. You will have to separate preferences to set the time and preferred room.

Time Slot Preferences for Lecturer

You can either include (time preferred to teach) or exclude (time not preferred to teach) timeslot for a lecturer.

Including the timeslot

Step 1: Select the Include Slot.
Step 2: Select a day.
Step 3: Select a timeslot.
Step 4: Set your priority for the timeslot constraint.
Step 5: Click .
Step 6: Repeat the same steps for other timeslots that you want to add.

Step 7: Choose your preference either optional (best effort) or mandatory(compulsory).

Step 1: Select the Enclude Slot.
Step 2: Select a day.
Step 3: Select a timeslot.
Step 4: Set your priority for the timeslot constraint.
Step 5: Click .
Step 6: Repeat the same steps for other timeslots that you want to add.

Step 7: Choose your preference either optional (best effort) or mandatory(compulsory).

Excluding the timeslot

Step 1: Set your priority for the timeslot constraint.
Step 2: Select Include (preferred room) or Exclude (not preferred room) room.
Step 3: Select the rooms you want to include or exclude.
Step 4: Click  to move 1 selected room to the Preferred Room box or click  to move
all rooms

Step 5: Choose your preference either optional (best effort) or mandatory (compulsory).

After you have set all the constraints, click  to confirm the settings.

 

Copy, Cut and Paste (within a single file)

Before performing this function, please be advice to not change any General timetable settings that has been explained in Chapter 3 Stage 1.

Step 1 : Select the folder or section that you want to copy.

Step 2 : Go to Edit, select Copy or press Ctrl + C.

Step 3 : Select the folder you want to paste to.
Step 4 : Go to Edit, select Paste or press Ctrl + V. You can also see that the section names are added with
additional characters because every section name has to be unique.

Step 5 : Double click on each section. Change the section name according to your preferences.

For the Cut and Paste function, follow the same step above but instead of selecting Copy, select Cut or press Ctrl + X.

 

Copy and Paste (between different files)

We can copy and paste between different files with the same time structure.
For example, we want to copy a folder from sample 2 - 67 and paste in sample 3 - 66.

Step 1 : Select the folder or section that you want to copy from sample 2 - 67.

Step 2 : Go to Edit, select Copy or press Ctrl + C.

Step 3 : select the folder in sample 3 - 66 you want to paste to.

Step 4 : go to Edit, select Paste or press Ctrl + V.
